This learning module discusses Data Protection and Privacy in the workplace

In today’s digital world, data gathering or collection is commonplace and widespread, with almost all businesses collecting and storing information on their customers, employees, or third party entities such as suppliers and contractors.
Most countries, including ZW require companies and organisations that collect and/or store users’ personal data to comply with regulations for data collection and management, and protect said data to protect people’s privacy.
Data protection pertains to the measures and policies that organizations and individuals implement in order to keep and protect data from any unapproved access, use, disclosure, or destruction, as well as making sure that only authorized people or groups can access and make use of it. This is important because personal data can be sensitive and valuable, and its misuse can have serious consequences for individuals and organizations.
The obligation extends to all companies, no matter how small, including for example, the retailers that send you discount offers via email or text when you subscribe, or the person at street-booth who repairs your mobile phone. It also includes your mobile phone company, the estate agency who you rent your property through, or the business where you bought goods on credit. All these businesses are legally required to handle and safeguard the data they hold on you.

Privacy
Privacy regulations in most countries give individuals the right to regulate how their personal data is collected, used, and shared. The regulations require suitable management of personal details, presenting individuals with straightforward information about how their personal data will be utilized, obtaining their clear permission prior to collecting or processing their personal data, and guaranteeing that it is only utilised for the intentions for which it was collected..

Key Themes

There are several key themes you need to know about data protection and privacy:

Consent and Control
Individuals have the right to control their personal data and must give informed consent for it to be collected and processed.

Data Minimisation and Purpose Limitation
Organizations should only collect and process the minimum amount of personal data necessary for a specific purpose and not use it for other purposes without further consent.

Security and Confidentiality
Personal data must be protected against unauthorized access, disclosure, alteration, and destruction.

Accountability and Transparency
Organisations must be transparent about their data processing practices, and be accountable for complying with data protection regulations and responding to individual requests.

Cross-Border Data Transfers
When personal data is transferred across borders, it must be adequately protected, and individuals must be made aware of the risks.

Privacy by Design and Default
Data protection and privacy should be considered from the outset of any new system or process, and privacy should be the default setting for all data processing.
